We regret to announce the cancellation of the forthcoming weekender event - we have been working for the past few weeks with a backdrop of issues, including the possibility of an extension to 4am not being granted. The below seeks to explain the reasoning behind this decision and is all we’re legally allowed to say:
Important Points in bullet points for quick reference
· The local authority have not yet heard the licence extension application to allow the event to proceed legally
· The local authority has concerns regarding noise nuisance and the noise limits won’t be set until shortly before the event, which we find unacceptable.
· We aren't happy putting on an event that does not meet the high standards you set us.
· Everyone will receive refunds ASAP but please allow us 10 working days due to volume
· For all questions please ask via http://www.htidweekender.com/helpdesk
To provide you with more in-depth information, please read the section below:
Firstly, we are sorry to be having to cancel - we have invested months of work and a substantial amount of money into this event. To be having to cancel is not a thing we wanted to do but we believe this is best thing to do - we don't ever set out to put on events which are sub-standard.
At the moment the Local Authority has concerns about noise nuisance from the event - ie the disturbance to local residents caused by the music arenas. To control this they are planning to set sound limits on the music levels, but these have not yet been set. If things were to go wrong at this stage (ie the sound limits were set too low) it would then be too late to cancel the event and it likely your enjoyment of the event would then be ruined.
The main arena has had a device called a Sound Sentry installed. This piece of equipment monitors the sound level in the rooms and can over-ride the DJ's, MC's and Sound Engineers to compress & reduce the sound levels should they exceed a pre-determined limit. At the moment this limit has NOT been set. As you know, we pride ourselves on the quality of the sound systems we install (Which for the event would have been the award winning GHB sound system) - we don't feel we could provide the sound quality you deserve working within these constraints.
We have previously managed a weekender event at Pontin’s Camber Sands that has a Sound Sentry fitted - this caused the sound levels to be far lower than you would expect from a quality dance music event. We have worked for many years to provide you the best quality events possible and don’t feel it right to take your money for an event that could be sub-standard in any way.
We’d like to take this opportunity to thank everyone across the UK who worked behind the scenes on this event - your efforts are appreciated. We’d also like to thank all those that purchased tickets and appreciate your patience as we arrange your refunds.
We will be refunding everyone for all payments made - as you can imagine this will be a massive task. We will be processing them as quickly as possible but please allow us 10 working days to fully refund everyone. Refunds will be made via PayPal for those that paid via PayPal (Including all credit & debit card payments). The lead booker for bookings who had people who paid cash or cheques into our bank account, made an online or telephone bank transfer to us or those who posted us a cheque will receive a cheque from us through the post. For the avoidance of doubt the lead booker is the person who is listed as Guest 1 on your booking.
We appreciate you may wish to speak to us about this issue - if you do please contact us via http://www.htidweekender.com/helpdesk This is the only way we can ensure we answer everybody who wishes to contact us. Please don't post comments on Facebook, Twitter, Call Us or Email us if you would like a response. We apologise if this is slightly inconvenient for you but with so many contact methods it is inevitable some will be missed unless we direct everyone to a single medium.
Once again please accept our deepest apologies for the cancellation of this event but we feel that it would be wrong for us to continue with the event if it was unable to meet the high standards that you rightly set us and that the best course of action is to refund all attendees.
